Organization Overview:

The Records management Specialist will serve as the administer of the corporate Records Management Program at the NJNY site, ensuring that GMP and non GMP records are processed, retained, and dispositioned per regulations, legal requirements, and internal Lilly Records Management Policies. Develop procedures, training and influence the development of electronic records management systems to ensure the objectives of Lilly’s Records Management Program are met and that resources are effectively utilized.

Responsibilities :

  1. Effectively manage the corporate Records Management program for the NY/NJ site. Responsible for rolling out local training and communications, including events such as the site Records Management Fair and File Clean-Up Week.

  2. Oversee a uniform, thorough, and accurate indexing of archived records.

  3. Oversee accounts with off-site storage locations. Work with Purchasing to address PO’s.

  4. Administer the electronic Records Management system used by NJ Records Management. Support Change Controls for Records Management Systems.

  5. Ensure Vital Documents are appropriately backed up, both for reference and disaster recovery purposes.

  6. Manage offsite activities of records to maintain a systematic plan for transitioning records to off-site storage.

  7. Act as primary contact for Records Management contractors and services, including document imaging and document archival companies.

  8. Manage program to identify and disposition documents beyond or approaching their retention periods and box destructions. Interface with Cross-Functional areas to disposition documentation per the approved Retention Schedule.

  9. Serve as a Records Management resource to cross functional groups across the company. Consult with Lilly partners as appropriate, to benchmark best practices, determine applicable archival sites for records, and to remain current with corporate practices.

  10. Identify Sensitive Information Impact and Record Retention requirements for all local systems that include a computer where data is maintained, archived or retrieved.

  11. Develop periodic and ad hoc reports for management regarding the quality and progress of the Records Management Program.

  12. Provide Inspection support by acting as Records Management SME and facilitating prompt retrieval of archived documentation.

  13. Influence the development and execution of electronic records management systems (e.g., eArchive).

  14. Influence the adoption of electronic media/systems by collaborating with functional leadership and process owners to continuously improve the quality and efficiency of management of records.

  15. Demonstrate experience deploying digital records management solutions.

Basic Requirements :

  • A Bachelor’s Degree is preferred with a minimum of 1-2 years’ experience in a Records Management role.

  • Thorough knowledge of Records Management practices and principles in a Corporate and GMP environment.

  • Thorough knowledge of Information Systems or related field.

Additional Preferences :

  • Self-driven individual that requires minimal supervision.

  • Demonstrated customer service orientation.

  • Highly flexible, adapting to changes in priorities, requirements and processes.

Additional Information

  • 8 hour a day shift, 5 days a week

  • Position location in Branchburg, NJ

  • Ability to lift thirty (30) pounds.
